Privacy Policy

Last updated: September 27, 2026

This Privacy Policy describes how the Kealba Congregation scheduling application ("the App") collects, uses, and protects information belonging to members and other users of Kealba Congregation. This App is operated for the internal administrative use of the congregation and is not a public or commercial service.

1. Information We Collect

Depending on your role, the App may hold the following information about you:

  • Account information: your name and the email address used to sign in.
  • Publisher record information: full name, mobile and home phone numbers, address, date of birth, date of baptism, and emergency contact details (name, phone numbers, email, and address).
  • Scheduling information: meeting and assignment schedules, attendant and audio/video duty assignments, and related availability.
  • Field service information: field service reports submitted through the App.
  • Territory information: where territory or telephone witnessing features are enabled, addresses and phone numbers associated with ministry territories.
  • Technical information: basic session and log data (such as IP address and browser type) needed to operate the App securely, and cookies used to keep you signed in.

2. How We Use Information

Information collected through the App is used only to:

  • Organize and communicate meeting schedules, assignments, and announcements;
  • Track field service activity and publisher records for congregation administration;
  • Support the ministry, including the assignment and management of territories;
  • Send scheduling or assignment reminders by SMS or email, where configured; and
  • Maintain the security and reliability of the App.

3. How We Share Information

We do not sell or rent personal information. Information is only visible to congregation elders, ministerial servants, and other appointed individuals whose role requires it, and is shared only with the following categories of service providers as needed to operate the App:

  • SMS and messaging providers, to deliver assignment or reminder text messages;
  • Video conferencing providers (such as Zoom), where meetings are held online;
  • URL-shortening services, used only to shorten links shared for scheduling purposes;
  • Our hosting and infrastructure providers, who store data on our behalf.

None of these providers are permitted to use your information for their own purposes.

4. Data Retention

We retain information for as long as it is needed for congregation administration, or as long as you remain associated with the congregation, after which it is deleted or anonymized in accordance with the congregation's record-keeping practices.

5. Data Security

We use reasonable technical measures — including encrypted connections (HTTPS), access controls, and role-based permissions — to protect information stored in the App from unauthorized access, disclosure, or loss.

6. Your Rights

You may ask to review, correct, or request deletion of the personal information held about you in the App by contacting us using the details below.

7. Information About Minors

The App may record limited information about minors (for example, date of birth) solely for congregation administrative purposes, with the involvement and consent of a parent or guardian.

8. Cookies and Sessions

The App uses a small number of essential cookies to keep you signed in and to remember basic preferences. These cookies are not used for advertising or tracking across other websites.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.
